Privacy policy

Last updated 1 October 2026

Planeo helps groups of friends plan trips together. This page explains what we collect, why, who else is involved, and what you can ask us to do. The short version: we only use your information to run Planeo, we never sell it, and we don't show ads.

Who we are

Planeo (https://planeo.one) is run by Davide, an individual based in the United Kingdom, who is the data controller for the personal data described here. Contact: hello@planeo.one.

What we collect

  • Your account: your email address and, if you sign in with Google, the name Google shares with us. You can set the name your friends see.
  • Trips you create or join: trip name, destination, dates, budget, the trip's vibe, and the members of the trip.
  • Your preferences for a trip: activities and food you like, your pace, your budget, any notes, and dietary needs if you choose to add them.
  • Plans and reactions: the plans Planeo makes for your trip and your 👍/👎 on items.
  • Basic usage events: for example “trip started” or “plan generated”, with the time and the trip they relate to, so we can see where planning goes wrong and fix it. We don't use third-party analytics or advertising trackers.
  • Technical data: sign-in cookies that keep you logged in, and your light or dark mode choice, stored in your browser. Our hosting providers keep short-lived server logs (such as IP addresses) for security.

Dietary needs

Dietary needs such as halal, kosher or a nut allergy can reveal information about your religion or health. Adding them is optional. If you do, we use them only to choose places to eat for your trip, they're visible to the people in that trip, and you can remove them at any time from your preferences. Our legal basis is your explicit consent, which you give by adding them.

Why we use it (legal bases)

  • To provide Planeo (your account, trips, invitations, plans, sharing): because it's necessary for the service you asked for (contract).
  • To keep Planeo working and improve it (usage events, error logs, security): our legitimate interest in running a reliable service. You can object at any time.
  • Dietary needs: your explicit consent, as above.

Who can see your information

  • People in the same trip see your name, your avatar colour, the preferences you add for that trip, and your reactions. They never see your email address.
  • Anyone with an invite link sees the trip's name, destination, dates, how many people have joined and the organiser's first name.
  • Anyone with a public plan link, if the organiser creates one, sees the plan, including first names mentioned in it. The organiser can turn the link off.

Services we use

These companies process data on our behalf, only to provide their part of Planeo:

  • Supabase: database and sign-in (stores your account, trips and preferences).
  • Vercel: hosting of the website.
  • Resend: sends sign-in emails.
  • Google: “Sign in with Google” (if you use it), place search and details (Google Places), and maps (Google Maps). Destinations and search terms are sent to Google, and Google Maps loads directly in your browser, which lets Google see your IP address. Google's use is covered by the Google Privacy Policy.
  • Anthropic: Claude, the AI model that builds plans. When the organiser presses Plan, the trip details and the group's preferences (with first names) are sent to Anthropic to create the plan. Anthropic does not use this data to train its models.

Some of these providers are based in, or store data in, the United States. Where data leaves the UK, it's protected by the safeguards UK law requires, such as the UK's International Data Transfer Addendum to the EU Standard Contractual Clauses.

We never sell or rent your personal data, and we don't share it for advertising.

How long we keep it

  • Your account: until you ask us to delete it.
  • Trips, preferences and plans: until the organiser deletes the trip, or you leave it (your preferences for that trip go with you).
  • Usage events: up to 24 months. When an account is deleted, its events stay only as anonymous counts.
  • Information from Google (place names, ratings, opening hours, photos) isn't stored: it's fetched fresh when you view a plan.

Your rights

Under UK data protection law you can ask to see, correct, export or delete your data, object to or restrict how we use it, and withdraw consent at any time. Email hello@planeo.one and we'll reply within one month. You can also complain to the UK Information Commissioner's Office at ico.org.uk, though we'd appreciate the chance to help first.

Children

Planeo is for people aged 16 and over.

Changes

If we change this policy, we'll update the date at the top, and tell you in the app if the change is significant.
